| 1. If an event location
[start/finish] is being changed there is no need to create a new event.
Change the information from the old YRE to the new location. The
stamp number and stamp will be transferred to the new location. When a
NEW event is created AVA HQ needs to be notified by the sanctioning authority
that a new event has been submitted. |

| 2. Click on the Renew link
for the YRE. Edit the event after the event has been renewed. The
only exception to this is if an event city is changed. Change the city
before submitting the renewal. Also the dates must be changed when
renewing the event. |

| 3. Double check the dates
for the event. Remember you are renewing for 2008. |
| |
| 4. Driving Directions
belong in the "Start Point Address/Driving Directions" field. This will
place the information in the correct position in the Starting Point Book.
Directions should start from a major highway. Be concise. The
space in the Starting Point Book is limited. |

| 5. Once you have renewed
an event a new five digit reference number will be assigned. The event
stamp number will remain the same. Your club listing will now have both
the renewed [2008] event and the old [2007] event listed. The events will
have different five digit reference numbers but the same stamp number.
The dates will also be different. Please be careful to select the
correct event when updating information. |

| 6. Print your confirmation
page and save it for future reference. The renewed event will appear on
the club listing as soon as the event is submitted. The event WILL NOT
appear on the public web site until it has been approved by the sanctioning
authority. |

| 7. Remember to refresh
your screen. If you do not do this your browser may show old
information. |
| |
| 8. The "Start Point" is
the location where the start/finish box is located, i.e., The Dew Drop Inn --
NO other information should be in this field. DO NOT enter the address,
city and state. This information is entered in other fields. The
data base will place the information in the correct field. |

| 9. The event city is
critical to where your event will appear in the Starting Point book.
Remember that people using the Starting Point book may not know the area
of your event. If Universal City (TX) is entered as the event city, that
is where it will be placed in the Starting Point book. Someone looking
for an event in San Antonio (TX) may not see this event. If you enter the
event city as San Antonio/Universal City the event will be listed with San
Antonio events in the Starting Point book. Also in major cities where
more than one event is listed, list the major city first then the place where
the event starts. Example: Dallas/Zoo. |
