11 eUse the term “Program” rather than “Event Program” when referring to AVA Special Event Programs.Detail
11 fModification to paragraph 3. B of Administrative Policy for Special Events: 
 1. add the word “award” to clarify the intent of the sentence: … sample of the proposed award (rendering, drawing or picture) … 
 2. Insert a new third sentence to require a minimum size of an award patch to 3.5” x 3.5” or 12,25 sq. in. (Several participants expressed dismay at the 2” x 2” patch for the America’s Baseball program.) Detail
11 gChange to approval sentence on all AVA Special Program books. 
 Current: This book is approved for use of the IVV stamp by the AVA. 
 Proposed: This book is approved by the AVA for use of the IVV Certification Stamp. Detail
11 hTwo parts to this motion: 
 1. Require all Special Programs to be sanctioned for use throughout the entire USA, and 
 2. To not allow individual clubs, regional or state organizations to duplicate (exactly or deceptively similar) any AVA Special Program. Detail
11 iAddition of two entries to AVA Policy Manual paragraph 4.12. II D. 
 1. NEC must approve use of IVV Certification Stamp in Special Event Program books (not ED, who has authority only to approve use of IVV event stamp in state association and club special interest books) 
 2. IVV stamps may be entered in Special Interest Books only if the event occurs within the state the book was issued. (If the special interest book was meant to encompass more than one state, it should have been submitted for approval as an AVA Special Event Program.) Detail
11 jChange the requirement to submit an ESR for a Regular volkssporting event from 90 days to 60 days. Detail
11 kHave Seasonal Event stamps be treated the same as Year Round Events, that is: no need to return stamp to AVA HQ if the Seasonal event is to be renewed the following year. Detail
11 lImplement a Club 104 Program (see Club 104 discussion paper by Bob Morrison for details). In summary: requires participants to complete 104 events in a calendar year to receive an annual year award. Detail
11 mAdd a new topic “Club Challenge” to AVA Policy Manual in Section 4 to outline the details for getting project approval for a club-specific project in their local geographic area. Detail
11 nTo repeal the new (flawed) trail rating system and return to the 1-5 system. For example, a route with a very slow long incline (easy) gets same rating as one having that same cumulative incline covered in a short distance (difficult). Detail
11 oAppoint an ad hoc committee to study viability of replacing rubber stamps with adhesive, computer-printed labels. Detail
11 pProposal to eliminate the free walker category. Two parts: 
 1. This should be a national policy. 
 2. Policy change to be effective July 1, 2012 Detail
11 qTo allow clubs to offer a hosted day (staffed start-finish and checkpoints) for YREs and advertise them as for a traditional event. Detail
11 rTo initiate a frequent walker program by having the walker purchase monthly coupons from the AVA and use those coupons for payment of the fee to the clubs. Suggested price: $60 per month (20 events at $3 each, but individuals could print the name-and month-specific coupons as often as needed within the month to reduce their per-event outlay.) Clubs would submit the coupons to AVA to receive $1.75 credit for each coupon submitted (this is equal to the portion of the $3.00 fee currently retained by clubs for each paid participant). Detail
11 sTo accept the proposal of work submitted by the IT committee and to allocate respective funds for items 1 through 9. (see motion for details) Detail
11 tTo require HQ staff to include a survey with SASE with each event stamp mailed to a club for the purpose of collecting trail and event information directly from the clubs. This information would allow the IT committee to better plan database improvements and search functions with the goal of increasing event participation. Detail
11 uTwo parts: 
 1. To authorize Acting ED to research feasibility of automating the manual process of transferring club event data from the existing AVA Access database into the MAS 90 billing system. 
 2. If determination is feasible, authorize Acting ED to contract this project with the amended budget expenditure of up to $5,000. Detail
