Be a Part of the 2009 AVA Convention
2009
Convention Positions
In June 2005 AVA voted to bring the 2009 American Volkssporting Association Convention to Richardson,
Texas using the DART and TRE rail lines to attend the walks
during the Convention and to have special additional bus transportation
available to the walks in the South Central region states of Louisiana,
Arkansas, Kansas, Oklahoma and Missouri on the weekends bookending the
convention. Now the challenge is for you to help us fill the many positions
needed to put on a successful convention.
Here's what it takes to put on an
AVA Convention. Look at the Organization Chart below and click on any positions in which you might be interested. This will take you the a position description and a link to volunteer. You can use the link to volunteer or you can call 972 285-8102, or send an email to: David and Deborah (dahv@earthlink.net). along with the position for which you would like to volunteer.
To volunteer for a convention position using the link, click on the Volunteer Now link and type your NAME, ADDRESS, PHONE NUMBER and E-MAIL ADDRESS in the body of the e-mail message that will pop up on your screen. The position you are volunteering for will automatically appear in the Subject line of the message. If you do not get the e-mail form screen you will need to create a normal e-mail message containing the above information and send it to ava2009convention@ix.netcom.com. In the subject line you will need to put the name of the committee or position in which you would like to volunteer. |

CONVENTION
DIRECTORS
Convention Chairs ---
The Convention Chairs oversee the convention and all committees.
Assistant Chair --- Catherine Kellner
Assists the Convention Chair and
is the backup.
CONVENTION
DIRECTOR'S STAFF
AVA Liaison --- Heinz Johnson
The go-between with AVA Headquarters and the
Convention committees. This job is always filled by the Regional Director of the host region.
Public Information
and Publicity --- Volunteer to fill this position
Works with the media, coordinates
promotional activities and answers questions form the general public. Produces Convention Newsletter during the convention.
Webmaster --- Jim Carlo
Creates and maintains the Convention Web site.

CONVENTION COMMITTEES ---
Four major committee sections fall directly
under the Convention Chairs. They are: Operations, Planning, Logistics and Finance.
All Convention support and activities come under one of these four sections.
The sections break down as follows:
OPERATIONS SECTION ---
OPERATIONS DIRECTORS --- Deborah Carter - David Shepard
The Operations Directors are responsible
for all Convention activities. The section is broken down into four areas of
responsibility: Convention Operations, Walk Events, Convention Activities and Sales and Fundraising. Each of the four Operations areas is headed by a Director.

- Convention Operations -
Convention Operations Director --- Volunteer to fill this position
The Convention Operations Director
leads the committees that are in charge of the actual AVA convention and workshops.
Convention Meetings and Workshops Committee ---
Volunteer to head this committee | >Volunteer to serve on this committee
The Convention Meeting and Workshops
Committee insures everything is in
place for the actual AVA meetings and workshops, taking care of such things as rooms,
seating and AVA support.
Hotel and Facility Liaison Committee ---
Volunteer to head this committee | Volunteer to serve on this committee
The Hotel and Facilities Liaison
Committee works with the hotel to insure that everything is
in place and functioning properly.
Parliamentarian --- Volunteer to fill this position
The parliamentarian advises the AVA President and other officers, committees and delegates on matters of parliamentary procedure.

- Walk Events -
Walk Events Director --- Charles Wortz
The Walk Events Director will coordinate
the activities of two sub-committees: Texas Events and South Central
Region Events Each of the sub-committees will have an events coordinator.
Texas
Events Coordinator --- Helen Bateman
The Texas Events Coordinator
will oversee all Texas events during the actual convention.
South Central Region Events Coordinator --- Kenneth Miles
The South Central Region Events
Coordinator will oversee all non-Texas events during the weekends on either
end of the convention.

Convention Activities Director --- Volunteer to fill this position
The Convention Activities Director
is in charge of Speakers and Entertainment, the Social Activities Committee and Convention Events.
Social Activities Committee ---
Volunteer to head this committee | Volunteer to serve on this committee
The Social Events Committee plans and coordinates meals and social events, including speakers and entertainment.
Exhibits Coordinator --- Volunteer to fill this position
The Exhibits Coordinator leads
the committee that will coordinate exhibit space and provide support to
convention exhibitors.

- Sales and Fundraising -
Sales and Fundraising Director --- Volunteer to fill this position
The Sales and Fundraising Director
is in charge of Merchandise Sales the Silent Auction and Corporate
Sponsors committee.
Silent
Auction Coordinator --- Ellen Ott
The Silent Auction Coordinator
directs the group that is in charge of collecting Silent Auction items
and conducting the Silent Auction.
Corporate Sponsors Committee ---
Volunteer to head this committee | Volunteer to serve on this committee
The Corporate Sponsors Committee identifies and solicits corporate sponsors to
help defray the expenses related to putting on the AVA Convention.
PLANNING SECTION ---
- Convention Plans -
PLANNING DIRECTORS - Bruce and Claudia Fitch
The Convention Planning Directors
produce the Convention Plan that lays out Convention activities, support
requirements and timelines required for accomplishment of Convention milestones.
History, Documentation and After Action Report Committee ---
Volunteer to head this committee | Volunteer to serve on this committee
The Convention History Documentation
and After Action Report Committee maintains relevant historical documents and materials and photo
documentation of Convention Activities. The committee also coordinates production of the Convention After Action Report.

LOGISTICS SECTION ---
LOGISTICS DIRECTOR --- Volunteer to fill this position
The Logistics Director is in
charge of Convention support activities and has two major functions, transportation and Convention Support.
Transportation Committee --- Helen Hull
Volunteer to serve on this committee
The Transportation Committee coordinates bus transportation to outlying events not on the DART
rail lines and to social activities as required.
DART Liaison --- Volunteer to fill this position
The DART Liaison works
with Dallas Area Rapid Transit (DART) for passes and local transportation requirements.
Creative Support Director --- Volunteer to fill this position
The Convention Support Director
is in charge of the creative products needed for the
Convention.
Brochures and Programs Committee ---
Volunteer to head this committee | Volunteer to serve on this committee
The Brochures and Program Committee
designs and produces the printed material needed for publicity, registration
and Convention activities.
Design and Production Committee ---
Volunteer to head this committee | Volunteer to serve on this committee
The Design and Production
Committee designs and produces the event awards for the Convention along with the designs for the Convention t-shirts, hats, patches, pins, etc.

FINANCE SECTION ---
FINANCE
AND ADMINISTRATION DIRECTOR --- Gary Whitford
The Finance and Administration Director is in charge of the Financial Accounts Committee
and the Registration Committee.
Financial Accounts
Committee ---
Volunteer to head this committee | Volunteer to serve on this committee
The Financial Accounts Committee
is in charge of maintaining and auditing all Convention financial activities.
Registration Committee ---
Volunteer to head this committee | Volunteer to head this committee
The Registration Committee maintains
and records all registration records. This committee is also in charge of
registering and providing convention materials to all Convention delegates
and attendees.
